BASIC FUNCTION Provide administrative and clerical support to the Office of Human Resources. Assist in communicating the University's benefit plans to employees. Meet directly with all new hires. Complete I-9, E-Verify and RI New Hire processes for new employees. Process weekly benefit claim invoices. Responsible for Tuition Benefits and COBRA administration. ESSENTIAL DUTIES AND RESPONSIBILITIES - Assist in all facets of the workload for the Office of Human Resources. Act as the first line of contact to the office through monitoring the HR general inbox, answering phones and greeting visitors.
- Meet with new employees to discuss their benefit package and assist in the completion of forms. Complete I-9, E-Verify and RI New Hire processes for new employees. Work with employees to resolve any questions or problems related to benefit claims or enrollments.
- Process weekly benefit claim invoices (flexible spending, dental) and track data on spreadsheets.
- Responsible for preparing all COBRA notices, processing COBRA payments and keeping COBRA records up to date.
- Responsible for accurately processing all Tuition Benefit forms and ensuring all applicable Tuition Benefit paperwork is completed. Also, assist with preparing correspondence for the Tuition Exchange program.
- Run monthly Business Object reports for new hires and hours worked to ensure compliance with the Affordable Care Act.
- Assist with benefit open enrollment, benefit fairs, wellness events, benefit surveys and maintain the benefits webpage and benefits information/forms in Campus.
- Process employee address, name and office changes in Colleague and with insurance carriers, as applicable.
OTHER DUTIES AND RESPONSIBILITIES - General office/clerical duties, i.e. mail distribution, ordering supplies, monthly credit card reconciliation, check requisitions, filing, typing, answering phones, photocopying, faxing, etc.
- Contact employees with COVID symptoms, positive cases and close contacts to review University and RI Dept. of Health guidelines; update spreadsheets with data; follow-up with employees and clear employees when they can return to work.
- Create and distribute the monthly HR Newsletter.
- Update and maintain quarterly staff organizational charts and online employee directories.
- Maintain tracking systems for receipt of Conflict of Interest Disclosures, Annual Performance Reviews, 90 Day Reviews and onboarding/off-boarding checklists.
- Responsible for various HR-related special events, including faculty and staff anniversary awards, United Way campaign and the summer ice-cream social. Evaluate events and make improvements and changes, as needed.
- Purge terminated employee HR files and coordinate filing with payroll folders.
- Serve as a backup for processing workers' compensation claims.
- All other job-related duties as assigned by the Associate Director or Director for Human Resources.
Job Requirements:
- High school diploma or GED required.
- Minimum of two years previous office experience required.
- Benefit and/or Human Resource experience desired.
- Competency in the use of Microsoft Word and Excel spreadsheets required.
- Confidentiality is of the utmost importance.
- Must be proficient in math and have accounting skills.
- Customer service and organization skills are essential.
